Cancellation rules

A cancellation / downgrading / transfer must be made in writing.


An event can be canceled, downgraded or moved by the following deadlines

Less than two months before the planned start date, the cancellation fee is calculated on the basis of 40% of the total quoted price.

Less than one month before the planned start date, the cancellation fee is calculated on the basis of 75% of the total quoted price.


In connection with a reduction in the number of participants:​
A 10% reduction in the quoted number of participants is acceptable without incurring a cancellation fee up until 24 hours before the planned event date. Cancellations subsequent to the deadline will result in full payment for the quoted number of participants.

Cancellation of the entire event or a reduction in the number of participants must be sent to us in writing on the weekday preceding the event between 9.00 a.m. and 4.00 p.m.


Cancellation of hotel rooms
Cancellation and reductions of group reservations are subject to the following terms and conditions:

Paragraph 1
A: Cancellation of the entire group must occur no later than 30 days prior to the arrival date.
B: Cancellation of up to 50% of the final reservation can occur until 21 days prior to the arrival date.
C: Cancellation of up to 25% of the final reservation can occur until 14 days prior to the arrival date.
D: Up until 24 hours prior to arrival, 10% of the most recently quoted number of guests may be cancelled.

Paragraph 2
In the event of cancellation later than that stated in paragraph 1 a, b, c and d, the hotel is entitled to charge a cancellation fee (compensation) pursuant to paragraph 4, unless the hotel’s loss is covered by the rebooking of the rooms. The hotel is bound to inform the customer in the event that the rooms can be rebooked with another customer.


Group reservation
Group reservation is a reservation of at least 15 rooms.

Cancellation rules – hotel rooms/individual reservations​
An individual room reservation can be cancelled free of charge up until 24 hours prior to arrival – however no later than 2.00 p.m. Subsequent cancellation will incur full payment of the quoted price.

Please be advised that there may be an additional charge of DKK 150, DKK 200 in connection with specific room categories.
